Set up your keychain

 

 

 

To set up your keychain, click the set up a keychain link on the login page. Enter your registration details, give the Ts and Cs a once-over, then click register.

You'll receive a confirmation email soon after. Follow the instructions in the email, then log in to your keychain. Click add new account and enter your eportfolio practice and eportfolio live login details to your keychain.

Each time you have a new account, you can add it to your keychain.

Display settings, your profile & email alerts

 

 

 

 

To see and update your profile settings, log in to OneFile and click your name in the top right corner. Select profile or appearance to see the settings available to you. 

Task: Update your profile and email preferences

Navigate to your profile and update it with all the relevant information. Set your email preferences to receive email alerts.

Calendar & tasks

 

 

 

 

Use the menu at the top right of the page to access your tasks (clipboard icon) and messages (envelope icon).

You can also link OneFile to your Outlook or Gmail calendar, so you have all your appointments in one place.

Send a message to a colleague or learner using the message function.

Learner dashboard

Click on any learner's name to see where you can upload evidence, schedule reviews and see progress for that learner. You can also see forms assigned to the learner, their activity and the learning aims they're working towards.

Creating a teaching and learning plan

 

 

Use OneFile's assessment plans to create a teaching and learning plan for your learners.

To access assessment plans, just click into a learner and click the assessment plans button (look for the lightbulb icon).

Assessments & feedback

When a learner completes an assessment, you'll receive a task to assess and give feedback on the work submitted. You can choose the criteria for the assessment, and select whether to accept or reject the submission.

Your resource area is the go-to place for you and your learners to get all the documents, videos, links and files to support you.

On the left hand side, click resources. 

Off-the-job training

Record all your off-the-job training records in OneFile. For OneFile to calculate this, you'll need to know the learner's contracted hours. Click timesheets within the learner's portfolio, enter the contracted hours for the year and set the target off-the-job% if needed. Click save, and wait for the current off-the-job percentage to be calculated.

 

 

Gap analysis & learner progress 

 

 

Use the gap analysis to check your learners' progress and see where the gaps in their knowledge are. 

To view the gap analysis for a learner, click into their portfolio, then click gap analysis. Use the filters to select which criteria you want to view, then click apply.

Messages

Use OneFile's built-in messaging system to communicate with your learners and colleagues. Access your messages by clicking the envelope icon in the top right of your screen.

 

 

 

Assess how far your learner has come since they started their course by completing a progress review with them. Most reviews have sections that need to be filled in by the tutor and the learner.
